An Open Letter to All Accounting Students


Introduction

The ultimate goal for a college accounting student is to sit for the CPA exam, so there are many classes that must be taken, many factors to be taken into consideration. Which college is accredited with the state, is there a CPA exam track available, etc. But for many of these students, they have no intention of sitting for the CPA exam, they want to work with small business owners and help them with finance, bookkeeping and tax information. If that is your goal, let me tell you as someone who paid for and took all of those classes before getting his Master's degree, YOU DON'T NEED TO PAY THAT MUCH MONEY!

Why? This article will tell you.

1. THE EMPHASIS OF THE COLLEGE COURSES - Because the emphasis of 99% of the colleges use classes that are preparing you for a career with the big accounting firms. If what you want to do is be an accountant for small businesses, the money you invest in the degree will in large part be a waste. As an accountant for small businesses, you will be dealing with QuickBooks, Peachtree (ugh), or some other version of accounting software. You will be dealing with payroll, sales and use taxes, unemployment taxes, and the day to day advice you need to give your clients will not be taught to you in a college classroom.

The emphasis in the college courses will be on hedge funds, advanced accounting, government accounting, and GAAP. You might even wish to specialize in Sarbanes-Oxley compliance, and if so, then so be it, get your Masters and help the 15% of the companies in this country who will need your services. OR, specialize in helping a small business owner make the tough decisions so that they make a profit instead of a loss and won't have to close up shop.

When I completed the courses I did, (and there were many of them) I knew all the facts, but I still didn't know what an accountant did at work! I wasn't taught real world accounting for the small business, and believe me, small business accounting is a completely different animal than what you will learn in the college courses.

2. THE NUMBERS -

a. The Numbers of Positions Available - The numbers don't lie. (Yes I know, the people who USE them do, but that's not important here.) 80% of the people employed in this country (including accountants and bookkeepers) work for small businesses employing less than 100 people. The other 20% work for major corporations, including accounting firms. Your best chances of finding work lie with the small business owner who may not be able to afford a CPA full time, but they could afford YOU!

b. The Numbers of Other Graduates - When you graduate in May you are competing with 99% of the students who have been prepared for work for a big accounting firm. You are one in thousands of resumes being sent to them. These graduates are hoping to find an internship so that when they are able to sit for the CPA exam, they will secure a spot for themselves. These odds are a little better than the odds that you would be in the top 12 on American Idol, but not much better. Why not pursue work in the 80% area rather than in the 20%?

3. THE OPPORTUNITY -

What would you think about the opportunity to own your own accounting business? You would be your own boss, set your own hours, find your own clients, etc. And with the right training you can do this without paying $30,000 for a Master's Degree! You can do this without the CPA exam! Accounting is fully one third of what makes a business successful, you could help the mechanic with the dream of owning his own repair bay. And, you could help the baker with her dream of owning a bakery. The variety in owning your own accounting business is endless. I have worked with a daycare, a travel business, a vacation home business, a lawyer, a restaurant owner, a printer (actually 3 printers), set designers for movies and television, and more! Each business is unique, with unique needs and wants but each must employ the same discipline in accounting as the other.

There are 30 businesses a week that start up in my county alone. And what you can do for them will fight the statistic that half of them close up shop in three years! Most close because of poor accounting decisions and you can help them avoid that mistake!.

Conclusion

So where do I go, you may be asking? There are many fine centers that train professional bookkeepers and a being an employed bookkeeper is better any day than being a Certified, Graduated etc unemployed CPA. Find one, look for a solid history of helping people achieve their goals of becoming accountants. You will have the training those in the expensive college classes don't have, you will have the advantage of the statistics behind you and you will open up to yourself an incredible opportunity for a rewarding career.

Please don't get me wrong. I am grateful I completed my education (all $30,000 of it) but if I knew then what I know now, my decisions would have been completely different. Having a Master's degree can open doors for you, but they will be few and far between. If you truly wish to be a CPA, then by all means, get your degree and sit for the exam, attempt to fight 400 other graduates for the same position, register with all the temp agencies until they find you something. Accounting Software for a Small Business


Can you do your accounting the old fashioned way with a ledger book? Yes, you can, but with all the accounting software out there, why would you?

In general, you probably wouldn't, but I do know of a number of small businesses that have tracked their accounts in Excel for the first few years while waiting for the company to generate enough cash to buy an accounting package.

I don't recommend this strategy because basic accounting software is not that expensive and keeping appropriate track of your accounts is important for your business. Keeping a good account allows you to track your profitability by customer, allows you to understand how your employees spend their time, and allows you to understand how your marketing dollars drive your sales.

Make sure when you get your software that you are able to:
Track every revenue item and every expense by customer or job type.
You are able to customize your expense categories.
The reports that you can run will give you a good understanding of how money flows through your business.
Keep time by employee and run reports showing time by customer.
Download your data to your accountant's software system.
Have more than one seat license to use the product.
The three packages often recommended for small businesses are QuickBooks Pro 2008, Peachtree Complete Accounting 2008, and for Mac users: Myob Accountedge 2007 for Mac Also Includes Network Edition. (QuickBooks Pro also has a Mac addition and MYOB has a PC addition).

From my discussions with business owners, the majority start out with QuickBooks, but don't like it that much. Peachtree seems to be the favorite, but it is not available on the Mac. Any of these packages are fine for a small business, but please make sure that you have an accountant help you set up your accounts if you do not understand accounting yourself. The software will only benefit you if you understand what it is telling you.

Another note: if you are doing Department of Defense contracts, you must comply with the DCAA (Defense Contract Auditing Agency) accounting rules. A lot of specialty accounting firms would have you believe that you must have special software to be DCAA compliant. In many cases, special software will make it easier, especially if you have multiple contracts over multiple years. If you are just going for an SBIR or two, the above mentioned accounting packages can be used and can be DCAA compliant. Go to the DCAA website and click on the menu item: Standard Audit Programs. About half way down is the Preaward Survey of Prospective Contractor Accounting System. The DCAA will do an audit of your accounting system prior to beginning an award and this is the check list they will use to make sure your accounting system is up to their standards.

Microsoft Dropped Office Accounting: Why the Surprise?


Sometimes seemingly smart people just have bad ideas. Like Germany opening up that second front against the Soviet Union in World War II. Making that Speed Racer movie. Trading away Cliff Lee. And definitely putting The Jay Leno Show on prime time every weeknight.

My friend Brian, who runs an employee-benefits firm, is certainly smart. He too, had a bad idea. He's so annoyed about it that he didn't want me to disclose his last name or that of his company in this column. I can't blame him. For more than two years, Brian used Microsoft's Office Accounting software in his business. Just last month, Microsoft (MSFT) announced the discontinuation of the application. Now Brian is stuck.

It didn't seem like such a bad idea when Brian bought the program. Introduced in 2006, Office Accounting was Microsoft's challenge to Sage Software's Peachtree and Intuit's (INTU) QuickBooks, then the market leaders in small business accounting software. My firm sells Microsoft and Intuit software, and I have to admit that even we were encouraged by the announcement. Office Accounting, included as part of the Small Business Edition of Office, would integrate with Word, Excel, and Outlook. It was inexpensive. It would be supported by a growing network of "small business specialists," such as my firm. And most exciting of all, it was made by Microsoft. Sounded like a good idea, right?

Wrong.

This fall we've got new talk shows from Wanda Sykes, Jimmy Fallon, George Lopez, and many others, including Jay. Many lack experience with the format and, judging by some of the commercials I've seen, extremely unfunny. In Leno's case, there's also competition from scripted dramas on other channels. The software industry is no different. The market is awash in new technologies from untested companies. Wasting time watching Leno isn't such a big deal. But choosing the wrong software for your business is. So how do business owners know that a technology-or the company that makes it-will still be around five years from now before they invest precious time and money in it? Just don't do what Brian did.

Brian thought he was investing in a product. But he should've realized that he was investing in a company-one with a track record of discontinuing products that don't sell and allocating fewer resources to support less-profitable products. Microsoft also seems unable to get a product working well until at least its third iteration. Look at Windows, SQL Server, and Office. Rarely should a small business owner become an early adopter of any technology from any company-especially Microsoft-when it comes to something so critical as accounting. Brian should've waited for a few version releases before making the leap.

Like Leno and his producers, Brian should have taken a harder look at the competitive landscape. There were already a bunch of strong accounting software products for small businesses when Microsoft released Office Accounting. What features would make this product stand out? Integration with Outlook, Word, and Excel? Lower price? Easier to use? Already done. Office Accounting had nothing new to offer. A business owner could pick up a copy of QuickBooks or Peachtree with much the same features and priced about the same. And these products had been around much longer.

Another important consideration is how much outside support the software enjoys. Small business owners need support-not just from the vendor, but also from its partners and other business owners who use the product. Brian's antennae should've been raised when he asked other business owners, colleagues, and accountants what they thought of Office Accounting and was mainly met with blank stares. No one knew about it. Where were the user conferences? The blogs? The buzz?

Office Accounting was just an add-on

When Brian was researching Office Accounting, he found that Microsoft had a community of "small business specialists" who would help him with this product. If he had dug further he would've found that the community was only recently formed and consisted mostly of Microsoft partners who were not necessarily certified public accountants or indeed had any accounting background. If he had asked more questions, he would've found out that to be a Small Business Specialist, one needed only to have a computer, to have attended elementary school, and be able to walk and chew gum at the same time. I should know. That's pretty much how my firm became a small business specialist. And we're not so good at walking and chewing gum. Many CPA firms have expertise with accounting systems. Unfortunately for Microsoft (and Brian), not this one.

While Office Accounting could be purchased on its own, Microsoft was pushing it more as an add-on to its existing Office suite. That's another red flag. The product was one of hundreds that Microsoft sells. At its next-to-nothing price, its potential for becoming a significant profit maker was remote. In other words, Office Accounting was little more than a marketing gimmick to promote sales of Office. So when the gimmick didn't work, Microsoft pulled the plug. If Leno's ratings don't improve, his show may suffer a similar fate.

Brian learned that if he's going to buy important software from a technology company, the product should be a core application, not something peddled to promote other products.

It's not the end of the world. Competing accounting software vendors are offering tools to migrate Brian's Office Accounting database to their products. Nor should Jay worry. Long after his talk show is cancelled, he'll be a success at doing stand-up and appearing as a guest on Letterman. But next time, Brian will have learned his lesson. He'll know what to consider before purchasing a key technology for his business. I'm afraid the same may not be true for TV. I heard Paula Abdul is considering launching a talk show. Some people never learn.
